Privacy Policy

1. Who We Are

PawSync is a household pet-management service operated by William Scott, an individual sole proprietor doing business as "PawSync," based in Pennsylvania, United States ("PawSync," "we," "us," or "our"). This Privacy Policy explains what information we collect, how we use and share it, and the choices you have. It applies to the PawSync website and application (the "Service").

2. Information We Collect

We collect only the information needed to provide the Service:

  • Account information: your email address and display name when you create an account, and an optional profile photo.
  • Pet and household data: pet names, species, breeds, weight, medical conditions, allergies, vaccinations, medications, photos, care instructions, emergency contacts, and the care schedules and records you enter.
  • Activity data: task logs, feeding and meal records, appointments, expenses, training and potty logs, and other activity within your household.
  • Payment information: if you subscribe to a paid plan, payment details are collected and processed directly by Stripe. We receive only a customer identifier and subscription status — never your full card number.
  • Device tokens: if you enable push notifications, we store a device token so we can deliver alerts.
  • Technical data: when you use the Service, our infrastructure and error-monitoring providers automatically receive standard technical information such as your IP address, browser and device type, pages requested, and timestamps. This is used to operate, secure, and debug the Service.

3. How We Use Your Information

We use your information to:

  • Provide, maintain, and improve the PawSync service.
  • Send push notifications for missed tasks, low inventory, and appointment reminders (only if you enable them).
  • Share pet care data with members of your household and the sitters or care-team members you authorize.
  • Generate analytics and reports about your pet care routines.
  • Process subscription payments and manage your billing relationship (via Stripe).
  • Detect, prevent, and respond to fraud, abuse, security incidents, and technical problems.
  • Comply with legal obligations and enforce our Terms of Service.

We do not use your information for third-party advertising, and we do not sell it.

4. Data Storage and Security

Your data is stored using Supabase (powered by PostgreSQL) with row-level security policies that isolate your household's data from every other household. Medical records, pet documents, wellness photos, note attachments and account exports are kept in private storage and can only be opened through a temporary link that expires after about an hour. Pet, profile and recipe photos are served from public storage at a long, unguessable web address: they are not listed or searchable, but anyone you give that address to can open the image without signing in, and removing the photo from PawSync does not reliably stop that address from working — the stored file can outlive the photo you removed. Treat such a link as you would the picture itself. This is also what lets a stranger who scans your pet's lost tag see their photo. All data is transmitted over HTTPS. We take reasonable measures to protect your information; however, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

5. Data Retention

We retain your account and household data for as long as your account is active. When you ask us to delete your account, we delete your personal data from our active systems within 30 days, except where we are required to retain certain records to comply with legal, tax, or accounting obligations. Residual copies may persist in encrypted backups for a limited period (typically up to 90 days) before being overwritten. To make the request, email us at the address in Section 12.

6. Data Sharing

We do not sell your personal information. Your pet and household data is shared only with:

  • Members of your household (whom you invite via invite codes).
  • Sitters and care-team members you authorize via time-limited links with granular permissions you control.
  • Anyone who scans a QR code for a pet you have marked as public — and then only the specific fields you have chosen to make visible.
  • Service providers who process data on our behalf to operate the Service (see Section 7), under contracts that limit their use of the data.
  • Authorities or third parties when required by law, to enforce our Terms, or to protect the rights, safety, or property of PawSync, our users, or the public.

7. Third-Party Services

PawSync relies on the following service providers:

  • Supabase: database, authentication, and file storage.
  • Vercel: application hosting and content delivery.
  • Stripe: subscription billing and payment processing. When you subscribe to a paid plan, your payment details are collected and stored by Stripe under its privacy policy; PawSync receives only a customer ID and subscription metadata.
  • Sentry: error and performance monitoring. When the app encounters an error, Sentry receives technical context such as the URL, a stack trace, browser and device information, IP address, and a user identifier. No pet records, photos, or uploaded files are sent to Sentry.
  • Google Places: optional address autocomplete in appointment dialogs. When you type an address, the text you enter is sent to Google to return suggestions.
  • Open Food Facts: barcode product lookups. Only the scanned product barcode is sent — no personal data.
  • Upstash Redis: rate-limit counters keyed by IP address or token to protect the Service from abuse. These are transient and are not used to build a profile of you.

8. Your Rights and Choices

You can:

  • See your account, pet, and household data at any time in the app, and export your expenses to a CSV file. For a complete copy of everything we hold about you, email us at the address in Section 12 and we will send you one within 30 days.
  • Correct or update your account and pet information in the app.
  • Delete your account and associated data. Email us at the address in Section 12 and we will erase it within 30 days. There is no self-service delete button in the app yet.
  • Revoke sitter access and household invitations at any time.
  • Control which pet profile fields are publicly visible via QR codes, and turn public sharing off entirely.
  • Turn push notifications and optional email off at any time in Settings.

9. U.S. State Privacy Rights

Depending on where you live, applicable state privacy laws (such as the California Consumer Privacy Act) may give you additional rights to know what personal information we hold about you, to request access or deletion, and to correct inaccuracies. We do not sell personal information and do not share it for cross-context behavioral advertising. To exercise any of these rights, contact us using the details in Section 12; we will not discriminate against you for doing so.

10. Children's Privacy

PawSync is intended for adults and is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us personal information, contact us and we will delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated revision date. Your continued use of the Service after changes take effect constitutes acceptance of the revised policy.

12. Contact

For privacy questions, data-access requests, or account-deletion requests, email privacy@pawsync.app. You can reach this address whether or not you have an account, and it is the fastest way to request a copy of your data or ask us to delete your account.
